JOB TITLE: Executive Tribal Council Assistant

SUPERVISOR: Co-Administrators/Tribal Council

POSITION DESCRIPTION:
The Tribal Council Executive Assistant provides administrative support for all Tribal Council members and coordinates efforts on behalf of the Tribal Council. The Executive Assistant will be responsible for handling a variety of documents and correspondence, including reviewing, composing, preparing and  distributing both internal and external documents that may contain confidential, politically sensitive or agency-wide information; schedules and coordinates the Tribal Council’s calendar and all meetings.

Executive Tribal Council Asisstant Responsibilities:

  • Maintains files for Tribal council.
  • Prepare the agenda and creates Council packets using a variety of software including Word, Excel, and Adobe Acrobat, etc.
  • Responsible for assisting the Tribal Council in any fashion
  • Monitors incoming calls for Tribal Council
  • Schedules all Tribal Council Travel
  • Supports all meetings for Tribal Council by preparing meeting rooms to ensure that all tables, chairs and other items needed for the meeting are set up. This may include coordinating or setting up projectors, computers, whiteboards, and easels and ensuring the paper, pencils and agendas needed for the meeting are readily available.
  • Schedules meetings, coordinates logistics for events such as, but not limited to, Council meetings, General Council’s annual meeting, special events sponsored by Council, all public hearings and Council retreats.
  • Act as a liaison between Tribal Council offices, departmental offices, membership and the public.
  • Assist in preparing correspondences and mailings.
  • Attend all meetings of the Tribal Council and other meetings as directed by the Tribal Council.
  • Maintain the highest level of confidentiality of all matters involved in this position.
  • Be available for training to update skills as necessary for growth of the position.
  • Perform other duties as assigned by Tribal Council that relate to the overall coordination of events and activities related to the implementation of the Tribal Council’s legislative and executive functions in furtherance of the governance functions of Tribe.
  • Maintain Tribal Councils’ schedules in Outlook Calendar to assist in coordinating events/meetings.
  • Prepare various forms for travel, per diem, mileage, work order and purchase orders.
  • Maintain the Tribes resolution file and provide resolutions as required by Council, Executive Management and Federal Agencies.
  • Works with the Tribal Secretary to assist and maintain Tribal Council meeting minutes.
  • Perform Other Duties as assigned.

Qualification, Experience, Knowledge, and Abilities:
A minimum of 5 years’ experience in Tribal Government which is in or directly related to the line of work of the position to be filled and which has equipped the applicant with the knowledge, skills and abilities to successfully perform the duties of the position.

  • A minimum of 5 years’ experience in administrative experience
  • Ability to establish and maintain effective personal relationships in a work situation.
  • Must be highly organized.
  • Ability to interpret complex written materials.
  • Able to work as a teamplayer.
  • Must have the ability to coordinate the calendar for the Tribal Council effectively.
  • Must possess ability to handle stressful situations.
  • Must have excellent verbal and written communication skills.
  • Must have excellent interpersonal skills with demonstrated patience, tact, and respect.
  • Must have exceptional detail and follow-up skills.
  • Adaptability, especially able to adjust to changes in policies and procedures.
  • Experience working with tribal or other governmental entities.
  • Possess problem solving skills and ability to take initiative.
  • Attend occasional evening and weekend meetings and must be willing to travel.
  • Knowledge of Tribal Government operations

SUPERVISION EXERCISED:
No supervisory responsibility is required

WORK SITE:
Enterprise Rancheria Tribal Office – Oroville, CA.
Normal work hours Monday – Friday, 9am to 5pm

WAIVER OF EDUCATIONAL OR EXPERIENCE REQUIREMENTS:
The Tribal Council may waive the educational or experience requirements based on the evaluation of experience of the applicant.

HIRING:
Preference given to qualified Native American Indians under the Federal Indian Preference Act.
